Digitizing Paper Process with External Access

The Problem:

Our client came to us with an established paper-based system that was used to automate a key function of their day-to-day operations. They had a significant delay in processing their customers applications and it was a nightmare to create reports based on the data.

The Solution:

In less than a year, our team evaluated their processes and created a cloud-based system that removes redundant data entry, while still accomplishing all the goals of the program. The app also created the reports needed to give a clear picture to the client of various requirements. Knowing the paper to cloud shift would be a major change for all parties involved, we provided in-house training sessions and made training videos, so access to help was just a click away.

The Problem:

Our client had an existing system that relied heavily on paper, and a very old website to store their data that was capable of receiving data entry, but not able to report the data back out in a way that made sense to its users, and was accurate.

The Solution:

We recreated the system using modern development tools and standard software development practices. They now have the ability to completely eliminate their paper process and do everything digitally. The custom system we built contains complete revision history logging so we know exactly what data was changed, when, and by whom. All data entered is accurate and retrievable in reports that are custom built to suit their needs minimizing thousands of hours of work for the department each year.

Hardware & Software Monitoring, Reporting and Integration

The Problem:

A Fortune 500 client that had grown organically over the decades, realized they had many different locations implementing their own IT needs. Locations were buying their own hardware, installing software and compromising the entire company’s network and security in the process. The need for global accountability of hardware and software became critical to the integrity of the company’s future. They were also very concerned about the lack of security compliance in place and knew that if they were to be audited they would likely be massively fined.

The Solution:

Stone Fin built processes to gather data from existing infrastructure. The system inventoried all hardware attached to their network, operating systems running on each of them and what software was installed. We created algorithms for standardizing the software titles by type, department and job code so they could estimate volume license purchase levels to negotiate with vendors. The system now defines the standard for technology related needs for new employees and replacement systems based on job code and department. We are currently in the process of integrating the IT help desk tickets system and the HR system to automate deployment requests when new employees are hired. Future phases of the project include automating helpdesk tickets to identify and locate non-approved hardware and software on the network. This solution will provide the means of locking the current network down and will provide a line of defense going forward.

The Problem:

Source. Eat Fit came to us with the need to be able to run a website that can manage sales for a variety of receiving methods including in-store pickup, delivery, and shipping options. The complexity of the site needed to account for all possible taxes across the US, different shipping box sizes, items that are unable to ship and only sold in store and the site had to know what shipping method could be used based on the intended location so the food would not perish in a long shipment time.

The Solution:

Understanding the pain points the client had was vital to getting the implementation right from the beginning. We built the SourceEatFit.com e-commerce site on WordPress using WooCommerce. We have it integrated with a cloud-based sales tax service called TaxCloud to calculate and apply sales taxes accurately on every sale and actually file sales taxes automatically for every state that sales were shipped to, every month. The custom UPS integration takes into account the specific boxes available for shipping, their capacities, and the size of the order to ensure the proper number of shipping labels for the appropriate size boxes and weights are generated automatically. We also made sure that the inventory of their in-store POS operated as the system of record for the online e-commerce system and that orders for delivery or shipping from the various locations would update store inventories appropriately. Source Eat Fit only needs to maintain products and inventory through their POS. We took the integration of the POS one step further to submit in-store transactions to TaxCloud just as the e-commerce site does to ensure all sales taxes are being aggregated through one central filing authority automatically.
